The Executive Administrator is a central partner to the CEO, focused on enabling executive effectiveness, supporting robust governance processes, and driving high-impact special projects. Reporting directly to the CEO, you will serve as a key liaison for Platform’s Board of Directors and assist the senior leadership team with critical initiatives. We are looking for a central pillar for our office: someone who possesses the organizational acumen to engage effectively with Board Members and other key stakeholders, while understanding how their work supports our overarching strategic priorities.
The Day-to-Day Activities
The day-to-day activities of the Executive Administrator will include:
- CEO Office General Administrative Support: Strategically manage the CEO's calendar and inbox, anticipate needs, resolve scheduling conflicts, and coordinate travel and expenses.
- Board of Directors Secretary: Act as Board Secretary, managing all board and committee logistics, taking and preparing meeting minutes, and ensuring full compliance with governance practices and bylaws.
- Philanthropy Support: Strategically support CEO engagement with donors by coordinating outreach, maintaining donor materials, and assisting in the execution of stewardship activities.
- Special Projects and Executive Initiatives: Lead and execute varied projects, including presentations and strategic initiatives, while tracking key deliverables and stakeholders across all CEO-led workstreams.
- Professional Asset Creation: support in the creation of occasional presentations such as slide decks and registration pages that adhere to branding standards, in collaboration with the marketing team.
- Team Collaboration: Support the Senior Leadership Team with general administrative duties as needed. Participate in the Platform Social Committee and Continuous Improvement initiatives.
- The Platform Way: Participate in Platform’s ongoing Continuous Improvement initiatives and embrace our "All Hands" values by assisting with internal events and other duties as required.
Qualifications
The right candidate will demonstrate the following qualifications:
- Education: Post-secondary education in Business Administration or a related field.
- Executive Support: Minimum 5 years of experience supporting C-level executives with exceptional project and time management skills.
- Board Governance: Minimum 5 years of experience as a Board Secretary or on a board with direct administrative responsibilities.
- Communication and Relationship Skills: Exceptional interpersonal skills with the ability to act as a polished, confidential liaison for board members, key stakeholders and philanthropists.
- Technical Proficiency: Advanced proficiency in GSuite, Asana, and Hubspot. Canva an asset.
- Project Management: Proven ability to manage multiple priorities and lead projects from planning through to execution.
- Strategic Assets: Experience in marketing, events, or using AI tools to improve administrative workflows is considered a major asset.
