The Opportunity

As the Coordinator, Events, you will be a central partner in providing a high-caliber client experience. Reporting directly to the Manager, Events, you will act as the key contact for external clients, ensuring their event requirements are fully realized. We are looking for a team member who possesses the administrative support, project management, and high-level customer service skills to engage effectively with our partners and stakeholders while understanding how their work supports our overarching strategic priorities.
The Day-to-Day Activities
- Core Function Support: Provide administrative support for external event clients, including booking confirmations, catering, security, and staff liaison.
- Stakeholder Engagement: Serve as the primary contact for startup founders, corporate partners, vendors, and event attendees to ensure their requirements are fully realized.
- Strategic Execution: Build Banquet and Event Orders (BEOs) in Momentus, ensuring details are ready for operations/execution staff handoff.
- Asset & Resource Management: Manage event bookings across internal systems, the YYC Tech Community Event Calendar, and Innovation Centre displays; compile monthly event metrics.
- Team Collaboration: Work closely with the Sales Coordinator to ensure a seamless client handoff and contribute to the refinement of event processes.
- The Platform Way: Participate in Platform’s ongoing Continuous Improvement initiatives and embrace our "All Hands" values by assisting with internal events and other duties as required.
Qualifications
- Education: Post-secondary education in event management or equivalent professional experience.
- Experience: Minimum 4+ years of experience in event management/coordination.
- Technical Proficiency: Proficiency in event management software (e.g., Momentus) and Google Workspace.
- Communication: Exceptional interpersonal and communication skills, with a focus on being a polished representative of Platform Calgary.
- Project Management: Proven ability to manage multiple priorities and see tasks through from planning to execution.
