Role Summary

The Marketing Operations Lead is the strategic architect of the Marketing team’s systems, processes, and workflows — the person who designs how work gets planned, coordinated, and delivered. This role owns operational strategy across project plans, CRM processes, reporting, and templates, building the scalable infrastructure that lets the team execute complex campaigns and routine production with consistency and predictability.

A critical part of the role is partner enablement: acting as the primary Marketing point of contact for event sponsors and partners, managing timelines, inputs, and approvals so partners stay focused on acquisition, pricing, and long-term relationships. The Marketing Operations Lead works closely with Partnerships, Events, Membership, and Programming to align operational output with organizational goals, and partners with the Content Marketing Specialist to maintain editorial quality.

Key Responsibilities

Operational Strategy & Workflow Design
  • Establish the overarching operational strategy, frameworks, and infrastructure—including core intake, timelines, and capacity management models—to ensure marketing scales predictably.
  • Drive capacity planning and resource allocation models, leveraging predictive reporting to eliminate bottlenecks before they impact delivery.
  • Establish cross-functional intake frameworks that standardize how campaigns and routine updates move from brief through execution across all channels.
Marketing Systems & HubSpot
  • Own the strategy, roadmap, and administration of the marketing tech stack (HubSpot, Asana, etc.), ensuring systems are optimized to support strategic organizational goals.
  • Establish and enforce strict data governance, taxonomy, and lifecycle management practices across all contact records, lists, attribution reporting, and marketing analytics.
  • Architect scalable automation workflows and maintain end-to-end operational enablement, establishing team training standards and system documentation. 
Partner Enablement
  • Oversee the operational framework for partner marketing deliverables, establishing standard operating procedures (SOPs) for briefs, assets, and approvals between Partnerships and Marketing.
  • Architect and maintain a scalable enablement library (pitch assets, case studies, proof points) with clear cross-functional governance and approval loops.
  • Design reporting mechanisms to track output metrics and deliver insights that support partner renewals and strategic reviews. 
AI-Assisted Workflows
  • Champion the AI transformation strategy, driving team adoption of AI tools (e.g., Claude) by architecting prompt workflows and automation pipelines that maximize team output while maintaining quality standards.
Cross-Functional Alignment
  • Serve as the strategic operational liaison between Marketing, Partnerships, Programs, and Events, aligning marketing production pipelines directly with high-level organizational goals.
  • Define and enforce cross-departmental handoffs, service level agreements (SLAs), and feedback loops without absorbing non-operational creative or sales execution. 
Additional Responsibilities
  • Support major campaigns, events, and organizational priorities as needed, and build positive working relationships across teams and with external partners, in line with Platform Calgary’s brand, privacy, and data practices.

What Success Looks Like
  • Marketing runs on systems this role designed and owns — not tribal knowledge or last-minute fixes — so commitments are scoped early and delivered predictably.
  • Because the operational “how” is fully owned here, the Content Marketing Specialist and the Partnerships team are freed to focus entirely on their own strategic work: content quality and sponsorship growth.

What This Role Does Not Own
  • Sponsorship sales, pricing, contracts, renewals, or the overall partner relationship — this role is the Marketing point of contact for approved deliverables, not the deal owner.
  • Final content writing, editing, or publishing; event logistics; founder recruitment; community management; brand strategy; or creative direction.

Qualifications
  • 5–6 years of progressive experience in marketing operations, revenue operations, or complex marketing project management.
  • Proven track record of designing, architecting, and scaling operational systems, intake frameworks, and workflows in a multi-stakeholder environment.
  • Advanced expertise in CRM architecture and marketing automation platforms (HubSpot expertise required).
  • Technical proficiency in system integrations, workflow engineering, and AI productivity platforms (e.g., Claude, Asana, G-Suite, Slack, Notion).
  • Demonstrated experience developing AI-assisted workflows or business automation to drive operational efficiency.
  • Strong cross-functional leadership, analytical problem-solving skills, and high attention to detail.
