We are looking for a highly motivated and detail-oriented Events Sales Coordinator to drive venue sales for our Events team. This role is essential for managing the entire sales cycle, from initial client inquiry to seamless handoff for event planning. You will contribute directly to achieving sales targets while ensuring an exceptional client experience. We're looking for someone proactive with excellent communication skills and a passion for events, client service, and hospitality.
What will you do?
- Lead Management: Serve as the primary contact for event inquiries, qualify leads, and maintain rapid response standards (24-hour turnaround). Support outbound sales initiatives.
- Client Engagement & Tours: Schedule and conduct venue tours, present offerings, and build client rapport.
- Proposal & Contract Administration: Draft proposals, prepare contracts, secure signed agreements, and manage deposits.
- CRM & Calendar Management: Maintain accurate client records, manage event availability, and track lead sources.
- Sales Handoff: Create detailed booking summaries for the planning team and ensure smooth client transitions.
Additional Responsibilities:
- Track and report on sales metrics (inquiries, conversions, lost business).
- Support the creation and maintenance of sales collateral (decks, rate sheets, templates).
- Assist with internal events and be available for occasional work outside regular business hours.
The right candidate will demonstrate the following qualifications:
- 2-4 years of experience in venue sales or event management (asset).
- Experience with Momentus, HubSpot, or similar event management software (asset).
- Exceptional project management, organizational, and time management skills.
- Results-oriented with a strong customer service focus.
- Excellent verbal and written communication skills.
- Proactive problem-solver and a collaborative team player.
- Ability to thrive in a fast-paced environment with tight deadlines.

- Exceptional Communicator: Clear, concise, active listening, and negotiation skills.
- Extremely Organized: Meticulous attention to detail, multitasking, and accurate record-keeping.
- Skilled at Sales & Customer Service: Proactive sales approach, strong client relationship management, problem-solving, and understanding of booking prioritization (paid vs. in-kind).
- Knowledgeable in the Events Industry: Understanding of event logistics and venue expertise.
- Technically Skilled: Familiarity with CRM/event management software (asset) and Google Office Suite.
- Professional at all times: Composed under pressure, positive attitude, and a strong team player.
